A.I. & The Project Management Discipline

Before we dive in should let you know that I am a huge advocate of A.I. helping in the workplace and actually taking some of the least exciting tasks off of Project Manager’s plates. I think that PM’s can and should be SO MUCH MORE than task masters and box checkers but they frequently get bogged down with low skill admin work. Luckily A.I. tools like chat GPT, and other meeting transcription and scheduling tools are helping make the new normal much more efficient (and efficiency is my favorite thing of all.)

What Chat GPT Said PMs should prompt A.I. to do for them (and if I personally think it would work…)

Generate project plans

Generate a project plan for a new software development project

Will it work? Highly unlikely. Its way too broad. If you plugged this in, GPT would likely make up a fictional project and some generic milestones and dates. However, it could definitely be used to give you a good format. I wonder if you could even translate that format into a Gantt tool later. Well, I guess now we have to try.

Unsurprisingly it didn’t nail it, but it gave it a shot! It created a fictional project, and even tried to phase it out, its still way to generic and lacking quite a bit of detail that you need to make an actionable project plan. What I WAS surprised by is that when I asked it to write it in a format that could be used to make a Gantt, it got much closer (see the two side by side below)

Create project documentation: 

“Create a user story for a new feature on our website.”

Will it work? Well, yes… but not this way. Again too generic. However, You can feed GPT a series of bullet points, requirements or even a full document and ask it to break it down into Epics, Features and even stories! If you need to refine it you can remind A.I. of the personas using the tool, the goals of the tool and the format of the user stories you want, for accuracy. I also tend to add in that I want detailed acceptance criteria to test the feature. It is quite a thing of magic. I highly recommend the GPT to Gsheets integration so that you can upload a feature set, and then in the next column have A.I. write stories for all of them!

Communicate with stakeholders: 

“Write a test plan for our new mobile app.”

Will it work? This is a little weird. The description and the prompt don’t match. Would I just A.I. to communicate with a stakeholder on my behalf yet? Nope… or rather absolutely not. Would I ask it to write a test plan? Absolutely! Like I mentioned above, you’ll want to refine the ask and be sure you feed it the information about the individual features that it needs to write test cases for.

Solve problems: 

“Create a presentation to share with our stakeholders about our project's progress.”

Will it work? Well I don’t know that it would be solving a problem, could it build the presentation with the right info? Absolutely. There are several A.I. integrated presentation creation tools. Here are a few:

  • SlidesAI.io (Google Slides

  • GPT PPT (PowerPoint)

  • Presentations.ai

Write Launch E-mails

“Write an email to our customers to announce our new product launch.”

Will it work? Give it the features, transcribe and watch the magic. This is the type of thing GPT was made for. Want to refine it? Tell it your brands voice and tone guidelines.

Analyze data: 

“Identify potential risks that could impact our project.”

Will it work? This is a great prompt for junior PMs who aren’t sure what to look for as it relates to risks on large projects. With enough information GPT can identify dependencies and deadlines between groups that are too close. Information gaps, and potential areas where you need to add in assumptions. I absolutely recommend trying.

  • Generate product ideas: Generate leads by identifying potential customers who are interested in the project's products or services.

  • Make predictions: Provide customer support by answering questions, resolving issues, and providing troubleshooting tips.

  • Identify risks: Upsell and cross-sell by identifying products or services that customers may be interested in.
